What to pack for a successful tradeshow

By Marie-Claude Veillette www.globalwinemeetings.com

For exhibitors, tradeshows involve a combination of high-level strategy and low-level minutiae. On one hand, an exhibitor needs to identify what they hope to accomplish at a show, why they are there, and answer other strategic questions; on the other hand they need to keep careful track of all the small details that go into creating an engaging experience for tradeshow visitors, a.k.a. potential customers.

For the small stuff, a checklist comes in handy. Since it is better to be over-prepared than under-equipped, it’s a good idea to pack up a box with all of the items that could end up being useful during your visit to Taiwan. We can’t tell you how many times we’ve been saved by a box of stuff. Here is a non-exhaustive list of essentials to include in your tradeshow kit:

  • Pens/Sharpies/Highlighters (in different colors)
  • Scotch tape/masking tape/double sided tape, for putting banners on walls
  • Post-it notes
  • Paper clips
  • Stapler
  • Scissors
  • All-in-one tool (knife, can and wine opener, screwdriver, etc.)
  • Electrical outlet bar
  • Extension cord
  • Plug adapter (very important!)
  • Tie wraps
  • Personalized business cards + generic versions, in case anyone runs out
  • Brochures and promotional material (pop-up banner, one pager, etc.)
  • Order forms and contracts
  • Excel file with meeting schedule and contact information for clients/leads (have a copy ready on your cell phone, just in case)
  • All documents related to your booth in case something is missing in your setup
  • Promotional products (i.e. freebies that can be handed out to visitors)
  • Laptop
  • Wi-Fi hotspot (may come in handy)
  • Cell phone with a plan adapted for wherever you will travel (or a new SIM card for your phone)
  • Google translate app, or a small dictionary for the basics
  • Comfortable shoes
  • Spare shirt in case of an accident
  • Water bottle (in case you can’t get away from the booth to get a drink)
  • Medicine (Advil, Tylenol, etc.)
  • Candies (always a good way to attract visitors at your booth!)
